Contract to Close Process:

  • Review the Purchase & Sale Agreement, counters and exhibits for signatures, initials, dates, and any missing information.

  • Obtain any missing signatures and documents

  • Send introduction emails to the co-op agent and to your client, explaining that we are your transaction coordinator.

  • Send contract and introduction email to attorney and lender, again explaining our role as your transaction coordinator.

  • Track receipt of earnest money and be sure that it has been distributed to all parties and uploaded to your compliance platform.

  • Provide a summary of contract deadlines to the attorney, lender, and co-op agent.

  • Facilitate status updates as well as reminders for upcoming contract deadlines.

  • Open communication between buying and listing agents on if/when the buyer is planning to do an inspection during due diligence.

  • Draft the Instructions to Closing Attorney/Commission Agreement, obtain signatures, and forward to attorney.

  • Keep a pulse on the status of financing, appraisal, and title.

  • Draft amendments per your direction (excluding ATACs).

  • Upload and submit all documents to broker compliance system as they are received.

  • Complete and submit Commissions Tab if agent is with Keller Williams.

  • Confirm that both the lender and attorney have all amendments.

  • Confirm Clear to Close with the lender.

  • Confirm that the attorney is ready for closing.

  • Obtain utility information and share with the buyer/buyer's agent.

  • Open communication between buying and listing agents on if/when the buyer is planning to do a final walkthrough.

  • Facilitate scheduling of the closing.

  • Request DA from agent's broker and send to the attorney.
